Time slot selector for customer form

Modified on Thu, 14 Sep 2023 at 11:04 AM

In Quick3, you have the option of setting aside free time for a resource/employee, so that customers who order services through the web form can choose between free time slots. This function may be useful for services with a standard duration, for example EU control.

Setup to be done:

  • Assign codes to resource group(s)
  • Enter free time slots at resource level
  • Create task template and order template
  • Create form
  • Create associated article

Resource and resource group

In a web form where it is desirable to use a time picker, the form must retrieve values for a resource group with resources that have entered available time. Therefore, the desired resource group(s) must be assigned a code (eg 01, 02, 03 etc...). If this has not already been done, go to resource group in the main menu and in the code field, enter the desired resource group code. We will use this code when we create form lines.

On each individual resource there is a tab called Available time/Tilgjengelig tid. Here you enter when and how long you are free. It is worth mentioning that if you are free all day to do missions, you must enter several logs on the same day. That is if you are free for 7.5 hours and a customer books an appointment from 08.00, and the service the customer has only ordered service for 2 hours, the whole day will be booked and not available to others. Therefore, intervals should be entered, so that several customers can book among available times on the same day.

To add available time to a resource, open the resource card, go to the tab, and click the plus sign.

You will then get a line that looks like this. Here you enter the desired start time and the number of hours from the start time that are available. When these two fields are filled in, the year, week and day fields will be pre-filled. Remember to save.

Task template and order template

When you build a form, you can link the form to a task template and an order template. This means that when the customer fills in a form on the website, it will come in as a specific type of task in Quick, and it will have a specific order type associated with it on the "sales" tab of the task.

To create a new assignment template, go to assignment search and press the plus sign. There you define what type of task it should be, which product it applies to, and which resource should receive these inquiries. Once this has been filled in, click on the hamburger menu and select save as template.

To create an order template, go to order search and click on the plus sign to create a new order. You then set up the order with the settings you want the template to have. (Leave the field "customer" blank).

Add items, blocks and settings that should be fixed for this type of order. You will always be able to change/adjust afterwards when new orders have been created, but all orders created from the template have the same starting point.

Once these templates have been created, they are added to the form that is created.

Form and landing page on the web

Form

Read this article for general information on how to create a form.

For forms where a time selector is to be used, the form line must have type = time selector, code = date and the list values field must contain the resource group codes from which the available time on resources is to be retrieved. If there are several groups, these must be separated with a comma (,).

For forms to be used on the web, a procedure must also be entered. Contact support and they will sort this out.

Article

How to create a landing page on the website is described in this article.

When the form and landing page have been created, it will look like this on the website:

Click on the field or icon for "desired time" to bring up a calendar where the desired time can be selected.

When the desired date and time have been selected, you will see that the desired time has now appeared in the field:

Processing of the submitted form

When the customer has filled in and sent the customer form, it will become a task in Quick3. You can find it in the task search, in addition, the responsible resource has received the task (if it has been set up in the task template).

The customer information can be found on the form tab on the task, and the time that the customer has chosen will appear under the time tab where the agreed time on the resource will be displayed. In addition, the task will appear in the calendar.

The information the customer has filled in the form found under the form tab:

The agreement in the time tab for the resource who has entered this free time:
