Serial number setup

When dealing with sales of smaller, non-configurable items, such as for example a chainsaw, you can register the serial number to keep track of purchase/sale. This is set up in the settings on the item card.

You can also use serial number registration for capital goods, which is described further down.


  1. Check the box for "Use serial number."
  2. Define the serial number pattern. In the example, we have defined that all serial numbers for this item have a length of 9 characters (numbers/letters) and all start with "996". What comes after 996 is open, and we define it by writing 5 stars for the rest of the serial number.
  3. Check the box for "Require at sale" if you want the sale of this item to be impossible without entering a serial number.
  4. Check the box for "Require at purchase" if you want the receipt of this item to be impossible without registering a serial number.



Goods recipt, items with serial number

To register serial numbers, start the goods receipt process as usual.

  1. Register the quantity of received items.
  2. Click on the line under Serial Number to enter the serial numbers of the items you have received.
  3. Confirm receipt.


When the goods receipt is confirmed, you can find the registered serial numbers down in the serialnumber tab.



Sales of Items with serial numbers


1. Fill in the item number.

2. Fill in the serial number.


A check will be performed to ensure the following criteria are met, otherwise you will receive an error message and the process will not be completed.


  • The serial number pattern is correct.
  • Quantity, you can only assign one serial number per item.
  • Duplicate check: the same serial number cannot be entered more than once for the same order.



Serial Number Association with Capital Goods/Models


The same applies to models, but in addition, you enter a model. In this example, we have linked the item "NEW AUDI A6" to Audi A6 in the brand/model registry. We have defined that the serial number should have the pattern XY123*** and that the serial number should be placed under the parameter "serial number" for the individual item.


Note! You must have a unique item for each model for this to work.


  • Create entity: By enabling this, you get the underlying creation rules.
  • Create on save: When adding the item to an order and entering the serial number, a new entity will be created.
  • Create on stock update: Upon goods receipt and serial number registration, the entity will be created automatically, and the serial number will be placed in the defined parameter.




Goods Receipt of Individual Items with Serial Numbers

If you have created the individual item with a serial number in advance, and later perform a goods receipt with the same serial number, it will be assigned to the same project number.



Overview of Individual Items with Serial Numbers


Under the tab Serial Numbers on the item number, you can see entities registered with serial numbers and other data, such as how many you have purchased/sold. Note that an entity is considered sold when it is placed in an order.
